Revolutionize Outbound Email Engagement with AI
Before generating personalized emails, it’s essential to understand the industry’s best practices for writing high-performing marketing emails. Here are the key principles.
Comprehensive Outbound Email Guidelines
I. Email Deliverability
- Inbox Setup:
- Utilize Google Workspace/Microsoft 365 Business inboxes.
- Establish 2-3 inboxes per domain.
- Configure SPF, DKIM, and DMARC records.
- Warm up the email domain for at least 3 weeks.
- Sending Tips:
- Send 30-50 emails daily per inbox.
- Implement a 10+ minute delay between emails.
- Avoid Spam Flags:
- Validate Contact lists to maintain low bounce rates. If it is a new email domain, when sending emails in sequence, please set it not to send emails to the Catch-all target mailbox, in order to minimize the bounce rate.
- Refrain from using spam-triggering keywords (e.g., "free," "guarantee").
- Personalize email content, avoid templates.
II. Contact List
- Email Finding/Enrichment/Social:
- Use effective email finding and enrichment tools.
- Effective Triggers
- "Social Trigger"- LinkedIn engagement (best)
- New in role/First time in role
- Recent fundraising
III. Copywriting
- 4-Step Framework:
- Clearly state why you're reaching out.
- Explain how you can offer assistance.
- Include social proof.
- Provide a clear call to action.
⭐ Keep emails concise (under 100 words).
- ❌ Avoid These:
- Generic greetings like "Hope this email finds you well."
- Corporate jargon (ROI, streamline, etc.).
- Lengthy or desperate "breakup" emails.
- Value Props
- ⏱️ Save time
- 💵 Save money
- 💰 Make more money
- 🛡️ Reduce risk
IV. Campaign Strategy
- Sequence Structure:
- Limit sequences to 3-4 emails.
- Email 1: Introduce offer with relevant research.
- Email 2: Provide additional context (threaded).
- Email 3: Present a new value proposition with a low-friction CTA.
- Effective Approaches:
- "Poke the bear": Address pain points.
- Chunking: Break down offers into digestible parts.
- Lead magnets: Offer valuable free resources.
- Problem sniffing: Identify potential issues.
V. Utilizing AI Effectively
- Manually research prospects initially.
- Use AI for specific sentence construction, not entire emails.
- Provide AI with accurate company data.
- Match ESPs (e.g., Google to Google, Outlook to Outlook).
VI. Subject Lines
- Keep them short (2-3 words).
- Craft them to resemble colleague correspondence.
VII. Personalization
- Reference specific company details.
- Mention recent company news or posts.
- Acknowledge their role or experience.
VIII. Follow-Ups
- Email 2: Add context to the initial email (threaded).
- Email 3: Introduce a new value proposition (new thread).
- Space follow-ups 3-5 days apart.
If your sender mailbox is a new domain email, it is recommended that you turn off sending to catch-all target mailboxes in the sequence settings. Because sending to catch-all target mailboxes will increase the bounce rate of emails, thereby affecting the reputation of the sender mailbox.

If you're using a new email address to send a large number of emails to target inboxes, and those inboxes have catch-all enabled, it can impact your sender reputation and email deliverability in several ways:
1. Increased Deliverability Risks 🚨
Since catch-all mailboxes accept all emails sent to the domain, even if the address is invalid, this can lead to:
-
Higher Bounce Rates: Some catch-all domains silently discard emails instead of delivering them, leading to undetectable bounces.
-
Spam Filtering: Sending large volumes of emails to catch-all domains may be flagged as a "dictionary attack," triggering spam filters and affecting your deliverability.
2. Damage to Your Sender Reputation 📉
-
Repeatedly sending to invalid addresses can harm your sender reputation, making it harder for your emails to land in inboxes.
-
Email service providers (ESPs) may restrict your sending if they detect high bounce rates or low engagement.
3. Difficulty in Verifying Email Validity 📩
-
Since catch-all domains accept all emails, you won’t receive a clear "invalid email" response, making it difficult to clean your email list effectively.
-
This can result in wasted effort sending emails to addresses that don’t belong to real users.
Conclusion
Catch-all domains can negatively affect your email campaigns by increasing bounce rates, lowering deliverability, and damaging your sender reputation. If you're running a cold email outreach campaign, it’s essential to identify and filter out catch-all addresses before sending to maintain high deliverability and engagement.
1. First, create a sequence and select the Email step. In the Email panel, click Personalized Email.
2. Scroll down in the Personalized Email interface and find "Your Value Propositions". According to the content in each module, fill in the text description information such as your own product selling points, the pain points or solutions that the product or service can solve. The more accurate the content filled in, the more conducive it is to the targeted content generated.
3. In the "Write A Prompt" input box, you can refer to examples, or modify or rewrite the prompt according to your own ideas. Please make good use of variables (inputting/characters will pop up the interface for inserting variables).
4. Please make extensive use of the email preview tool. It allows you to preview in real-time based on the input prompt information and the contact list, ensuring that the content generated by the email meets your expectations for the email content.
5. You can find sent emails and replies in the Sequence - Emails tab!
