1. SSO Enhancement: Streamlined Google Calendar & Gmail Binding
Introduction We’ve optimized the login flow for meeting users who sign in with Google SSO. Now, users can grant required permissions during login, eliminating redundant steps later in the meeting module.
Background Previously, even if users registered or logged in with Google SSO, they were required to re-bind Google Calendar and Gmail in the meeting module to enable meeting features. This update simplifies the process by completing the binding upfront during authentication.
Key Updates
  • Google SSO Binding Optimization
    • When a user registers or logs in with Google SSO, the system now requests access to Google Calendar and Gmail at the same time.
    • If the user grants both permissions, the system will automatically complete the binding process for the Meeting module during login.
    • Users no longer need to manually bind Google Calendar and Gmail again inside the meeting module.
Benefits
  • Seamless experience: Users skip the extra step of re-binding Google apps.
  • Faster onboarding: Meeting features are ready to use immediately after login.
  • Improved convenience: Fewer clicks and smoother setup for first-time users.

2. Meeting Update: Optimized Transition from "In Progress" to "Past" Status
Introduction We’ve refined the logic for transitioning meetings from the In Progress state to the Past state. This ensures meetings are accurately updated, even if they don't end on time.
Background Previously, meetings followed a simple rule for status transitions:
  • A meeting moved from Upcoming to In Progress when the current time was eariler than the meeting’s start time.
  • A meeting transitioned from In Progress to Past when the current time was later than the meeting’s scheduled end time.
However, as most meetings don't end exactly on time, we’ve made adjustments to ensure smoother transitions to the Past state.
Key Updates
  • Immediate Transition to the Past
    • When the bot’s status changes from on to off, and a meeting recording link has already been generated (meaning the user can no longer manually add the bot), the meeting will transition to Past even if the scheduled end time hasn’t passed.
  • Normal Transition to the Past
    • If the bot’s status changes from on to off, and no recording link has been generated (meaning the bot can still be manually added to the meeting), the meeting will transition to Past once the scheduled end time is reached.
  • Ongoing Recording
    • If the bot is still on and recording, and the current time is earlier than the scheduled end time, the meeting will remain in the In Progress state.
  • Late Recording Completion
    • If the bot is still on and recording, and the current time is later than the scheduled end time, the meeting will remain in In Progress until the bot leaves the meeting. Once the bot exits and the recording link is returned, the actual end time is updated, and the meeting transitions to Past.
Benefits
  • Accurate status updates: Ensure meetings transition to the Past state in a timely manner, regardless of whether they end early or late.
  • Smoother workflow: Automated logic prevents users from having to manually update meeting statuses.
  • Better meeting tracking: Updated meeting end times reflect actual meeting durations.

3. Meeting Update: Real-Time Bot Status in Booking List

w38_engage_03
Introduction We’ve added real-time bot status updates to the Booking List. This enhancement allows users to easily track the bot’s status during meetings, helping ensure smoother operations.
Background In previous versions, users could not see the current bot status in real time. Now, with the latest update, meetings in the In Progress state will display the bot’s real-time status, improving visibility and giving users better control.
Key Updates
  • Real-Time Bot Status
    • For meetings in the In Progress state, the Booking List now shows the bot’s real-time status.
    • Meeting Bot statuses include:
      • Pending – The bot’s current status as reported by Recall.ai.
      • On – The bot is actively recording the meeting.
      • Off – The bot has transitioned to the Call Ended state.
  • Retry Option for "Off" Status
    • When the bot status is Off, users can click the Retry button to resend the bot to the meeting.
    • Upon successful re-entry, the bot status will transition from Off to Pending.
Benefits
  • Better visibility: Users can now see the bot’s status in real-time, improving overall meeting management.
  • Improved control: The Retry button allows users to quickly resolve issues and get the bot back in action.
  • Seamless tracking: Ensures that users can stay informed on whether their bot is recording or needs attention.

5. Messaging Update: SMS Round Robin Fix

w38_engage_08w38_engage_09

Introduction We’ve resolved an issue in the SMS round robin distribution logic that occasionally caused incoming messages to fail assignment. The updated logic ensures smoother message distribution and accurate tracking.
Background Previously, when a user enabled SMS round robin and assigned a distribution pool, incoming SMS messages were evenly distributed across the pool. Each successful assignment was recorded in the message title, showing who assigned the message and who received it. However, if a user within the distribution pool had already been removed from the organization, the system could still attempt to assign messages to that inactive account. This resulted in failed assignments with no distribution record displayed in the title.
Key Updates
  • The system now automatically skips any removed or inactive accounts when distributing SMS messages via round robin.
  • Message assignment records in titles are consistently generated, ensuring accurate visibility of distribution history.
Benefits
  • Reliable distribution: No more failed assignments due to inactive users in the pool.
  • Accurate records: Every SMS now shows a clear assignment trail.
  • Stronger collaboration: Teams can trust that incoming messages will always reach an active member.
